RFQs from clients often need to move quickly, and waiting for a Felix account admin on your team to add them as a user is additional friction. To remove some of this friction, and ensure your company can open and start responding as soon as possible, clients can now add guests to your RFQs.

Guests are able to access just that RFQ, and don't require a password to access it. Guests receive secure links in their email to give them access. Your team members in Felix that can manage users can add them as full users, or choose to remove them if its not appropriate that that guest has access.

While we use the term "guest" the intention is that clients are adding contacts at your company that just mightn't be users in Felix yet.

 

NOTE

This is a Beta release feature. This means we are rolling it out to clients for testing and feedback on the experience for both organisations and vendors. We welcome your feedback as a vendor on this feature during this Beta period.

 

What can guests do in our account?

 

1. Guests are added to an RFQ, and only have access to those specific RFQs until they are removed by you or the client. 
2. Guests cannot access any other part of your account
3. Within the context of the RFQ they are invited to, Guest can:
   1. decline the RFQ
   2. view the documents provided by the client
   3. send and receive communications (messages, addendums, notice to tenderers) on the RFQ
   4. submit the quote on behalf of your company
4. Within the context of the RFQ they are invited to, Guests cannot:
   1. See the communications or response tab once a full user on your account has contributed to the response.
   2. Assign the RFQ to someone else in your account.
5. Guests can access Felix's help pages and contact our support team.
6. Guests can be assigned (by you) to an RFQ

 

How do I know if there is a guest on our account?

Users on your account that have the "manage users" permission will each receive an email notification when a client adds a Guest to an RFQ you have in your account. 

 

 

When you view an RFQ with a Guest, there is a warning alert and badge visible to inform you. You can click on the badge and see the guests present on the RFQ.

 

 

When a Guest submits an RFQ response, you will be notified via email that a guest performed this action.

 

 

If a guest has sent communications on the RFQ, you will see "(guest)" after their email address in the communications tab.

 

 

How do I remove a guest?

Users on your account that have the "manage users" permission will each receive an email notification when a client adds a Guest to an RFQ you have in your account. In that email there is a "remove" link to remove that guest from the RFQ.

 

 

NOTE

Your client can also remove a Guest. If you happen to be in conversations with them, you can request them to do so also.

 

 

What does a Guest see?

Below are some images of the guest experience. Note the following:

1. Guests do not see any top menu options, so cannot access any other parts of your account.
2. Guests are informed who they are responding on behalf of
3. Guests see their email and user ID for use with our Support team
4. Guests cannot see the Options tab of the RFQ
5. If a regular account user starts to contribute to the RFQ, a Guest can no longer see the Communications or Response tabs and must be added as a full account user to proceed.
