Customise contact details shown in Vendor invitation and reminder emails

When your team invites a Vendor to Felix, the invitation and reminder emails tell the Vendor who to contact with questions. By default, this is the Felix user who sent the invitation - ideal when they have a direct relationship with the Vendor, but less useful if you’d rather enquiries go to a shared inbox.

You can now choose whose contact details appear in these emails. A new Contact Details for Invitations section on the Vendor Settings page gives you two options:

• Use individual contact details: Emails show the Felix user who invited the Vendor, or your organisation’s general contact details when no specific user is available. This is the existing behaviour and is selected by default, nothing changes unless you switch options.
• Use a single point of contact (new): Set a Contact name and Contact email (for example, a shared Procurement mailbox) to appear in all future invitation and reminder emails, regardless of who sent the invitation This gives Vendors a consistent point of contact for enquiries, without relying on individual staff availability.

Choose who gets notified of your RFQ  

Available for: Sourcing (classic experience) 

You can now select which vendor contacts receive notifications about an RFQ in the classic experience – the same control already available in RFx. 

Previously, all vendor contacts subscribed to RFQ updates were notified. Now you’re in control: chose who to notify, and unselected contacts won’t receive a notification.

New vendor unlock status columns added to the Vendor List 

Available for: Vendor Management 

In December, we announced additional Vendor List columns to provide more detailed insights. We’re excited to share that even more columns have now been added to further enhance visibility.  

These new columns will help procurement teams more efficiently track vendor unlock activity and include: 

• Unlock status: Indicates whether a vendor is currently unlocked, locked, or was recently locked. 
• Date unlocked: Displays the date the vendor was unlocked, either for the current or most recent unlock. 
• Date locked: Shows the date the vendors unlock was completed or when the most recent unlock expired. 

Please note that vendors in Invited, Declined and Pending Resubmission status will appear as Unlocked due to their status permitting application updates. We recommend filtering out these statuses if you are reviewing unlocked applications.

To complement the new columns displaying vendor unlock activity, we’ve introduced a new vendor unlock status filter. This allows you to easily create custom views to monitor vendors with unlocks that have recently been completed or expired.
