Permissions

Users will need the Administrator permissions, or a Security Group with the Manage Approval Workflows permission to perform the following actions.

 

How to create an approval group

To create an approval group:

1. Navigate to Tools > Approval Workflows from the main menu.
2. Click New > Group at the top right corner.
3. Enter a Title (Required) and Description for the group.
4. In the This group is available to field, select from the following options as to which project the group is available to:
   • All Projects
   • Only selected projects - Select the relevant project/s from the dropdown.
5. Click the Create button.

 

How to create an approval route

To create an approval route:

1. Navigate to Tools > Approval Workflows from the main menu.
2. Click New > Route at the top right corner.
3. Enter a (Required) Title and Description for the route.
4. Select an Approval Group the route belongs to from the dropdown.
5. In the Use this route for approval of field, select what type of approval the route should be used for.
6. Click the Create button.

 

How to add an approver

You can add an approver when creating or editing an approval route. To add an approver:

1. Click the Add Approver button.
2. Select an approver under the User field.
3. Select the approver's job title under the Title field.
4. Select the Approver Level from the dropdown.
5. Click the Add Approver button.

 

How to replace an approver

To replace an existing approver in an approval route:

1. Navigate to Tools > Approval Workflows from the main menu.
2. Go to Routes tab.
3. Locate for the route you want to replace an approver for by using the quick search or filters.
4. Hover over the ⋮ ellipsis icon and select Edit Route from the options.
5. At the bottom, locate the approver who will be replaced and click the swap icon.
6. Click the dropdown bottom under Replace [APPROVER NAME] with field and select the new approver.
7. Click the dropdown bottom under Title field and select the new approver's job title.
8. Click the Replace Approver button.
9. If you want to update the approver level, drag and drop an approver field to rearrange accordingly.
10. Click Save.

 

How to remove an approver

To remove an existing approver in an approval route:

1. Navigate to Tools > Approval Workflows from the main menu.
2. Go to Routes tab.
3. Locate for the route you want to remove an approver for by using the quick search or filters.
4. Hover over the ⋮ ‌ellipsis icon and select Edit Route from the options.
5. At the bottom of the page, locate the approver who will be removed and click the trash bin icon.
6. Click Remove to confirm the deletion.
7. Click Save.
