Felix gives you the ability to directly engage a vendor based on their quote responses. Engagements can be created for a vendor's quote response from within the RFQ.

 

Business rules to be aware of with engagements

• An engagement may only be raised for a vendor who has responded to your RFQ. Their status must be Quoted.

• If a post tender request is Pending for a vendor, it will be cancelled when an Engagement is Sent. You will receive a warning of this as you work through the RFA process. 

• A post tender request cannot be raised for a vendor who has a Sent or Accepted engagement.

 

NOTE: A vendor may only be engaged if they have responded to your RFQ. Their status will be displayed as Quoted.

 

Create an engagement within an RFQ

To create an engagement for a vendor within an RFQ:

1. Navigate to Projects > Requests for Quotation from the main menu.
2. Locate the RFQ that you would like to create an engagement for by using the quick search or filters.
3. Click on the RFQ Job Name or hover over the ellipsis icon and select View Details from the options. The RFQ will open.
4. Go to the Vendors tab.
5. Locate the relevant vendor you would like to engage.
6. Hover over the ellipsis icon and select Engage from the options.
7. Update the QTY column of the relevant services.
8. Update the Engagement Details section to provide further details on the work you are engaging the vendor for.
9. Click the Create Engagement button.

 

TIP: You can create more than one engagement at a time for a single RFQ and then send them to the relevant vendors together.

Send the engagement to vendors

To send an engagement to the relevant vendor/s:

1. Navigate to Projects > Requests for Quotation from the main menu.
2. Locate the RFQ that you would like to create an engagement for by using the quick search or filters.
3. Click on the RFQ Job Name or hover over the ellipsis icon and select View Details from the options. The RFQ will open.
4. Go to the Engagements & Awards tab.
5. Review the details of the engagement/s related to the RFQ.
6. (Optional) Click the Notify all unsuccessful vendors checkbox to trigger a notification to vendors that are not being engaged as part of the RFQ.
7. Click the Send Engagements button.
